Frequently asked questions

Please read these qualifications before buying a property check. The quality and completeness of the documents you supply determine what TitleChk can review.

Can colleagues work on the same property?

When team access is enabled for your workspace, its owner can invite a colleague as an Editor or Viewer for selected properties. Editors can upload documents and use the property’s existing review allowance. Viewers can read and download. Invitations do not create a separate free workspace, add seat charges or give anyone legal approval powers. QCounsel opinions remain read-only.

Can I download or delete my records?

Account settings provides export and deletion controls when enabled. Owners can request a private ZIP archive for one property or their workspace. Downloads expire after seven days. Deleted properties disappear immediately and can be restored within 30 days. Restoration does not reopen seller links or restart processing. Already-started provider requests may still finish and incur usage, but their results are not added to a deleted property.

Will TitleChk email a seller automatically?

No. An owner must select the recipient and questions and send an invitation. The seller verifies access to their mailbox and separately chooses whether to receive reminders. Up to two reminders are sent, three and seven days after consent, stopping on reply, completion, unsubscribe or link expiry. Sellers only see the selected questions. Mailbox verification does not prove identity or property ownership.

What happens when I close my account?

You are signed out and your memberships are removed. Closing workspaces you own requires explicit confirmation; another firm’s shared records are not deleted when you leave. Required billing records are retained separately. Backup expiry and external service retention may differ from deletion in the application; see the privacy notice. Permanent purge is enabled only after backup recovery has been verified.

What does conveyancing include?

Organise seller questions, agreement and deed preparation, checks before completion, registration tasks and handover. Record responsibilities, due dates, replies and supporting documents. Prepare working agreement-to-sell and sale-deed drafts, save revised versions, compare clause changes and download a closing-pack PDF.

Why can a question stay open after I refresh?

Refresh updates the document checks and links unchanged questions to the latest report. It keeps your notes and seller replies. A question stays open until you have checked the supporting documents and recorded the outcome. Refresh does not supply a missing deed or answer a question for the seller. If you already refreshed a report, use “Update tasks from latest report” to bring older task links up to date.

Are the draft agreement and sale deed ready to sign?

No. They are starting documents for your property lawyer to complete and review. Enter the actual parties, property schedule and agreed commercial terms. Missing terms stay marked “TO AGREE”; the app does not invent payment receipts, title assurances, tax amounts or completion dates. Saving a draft does not execute or register it.

How does AI clause assistance work?

When enabled, you can request proposed wording for one clause using your entered terms and the saved report findings. Each successful suggestion uses one of the property’s 100 question credits, shared with property chat. It runs in the background and does not change your document automatically. Review the suggestion, edit it as needed and save a new version. A provider failure leaves your draft intact; retries must be requested explicitly.

Does TitleChk sign, register or pay for the transaction?

No. Signatures, payments, stamp-duty assessment and registration are completed outside TitleChk. Record their progress and retain supporting documents in your property file. Completing a task is not confirmation from a registry, bank or counterparty.

Can I ask the seller or their lawyer to respond?

Yes. Select questions in Conveyancing and create a private response link to share yourself. Anyone holding that link can see the selected question titles and submit replies for seven days. They cannot access your documents, reports, other questions or existing responses. Revoke the link at any time. A respondent’s entered name is not verified identity, and a reply does not resolve the underlying finding.

What is in the closing pack?

The PDF records the property details, task progress, seller replies, recorded searches, retained-document inventory, saved draft versions and outstanding report findings. It is a coordination record, not proof that every completion condition has been met. Download the relevant draft, report, opinion and originals separately when providing the complete transaction file to your lawyer.

Can I receive a partial report?

Yes. A report may be partial when pages are blurred, faded, cropped, missing, handwritten or otherwise cannot be read reliably. OCR (converting a scan into text) can also fail on a page that a person can read. Findings cover only the readable evidence that passes validation. Unreadable pages are not treated as checked or as proof that there are no issues.

Those pages may contain an important name, amount, boundary, condition or ownership link. A partial report cannot establish what the excluded material says, and should not be relied on as a complete assessment of the property.

Does the comprehensive plan guarantee every page will be reviewed?

No. “Comprehensive” describes the included review features and usage allowance, not guaranteed legibility or complete coverage of every document. English and Kannada OCR are supported, but results depend on the source quality, layout and handwriting. Processing completion and model confidence are not measures of legal accuracy.

Can you read handwriting, stamps and building plans?

Handwriting transcription can produce a draft for verification; it is not automatically verified evidence. Faint writing, signatures, seals, tables and drawings may remain unresolved. Text extraction does not authenticate a signature or stamp, or establish a plan’s dimensions, boundaries or approval status. These may require inspection of the original by an appropriate reviewer.

How do I resolve incomplete coverage?

Check the page-quality flags in your workspace and the processing qualifications in the report. Supply clearer, complete scans with all margins visible, or obtain better copies from the source. Have uncertain transcriptions verified against the originals, then run a new review of the updated evidence. Saved reports are snapshots and do not become complete just because you upload another document.

Your plan’s document, page and successful-review allowances still apply. Contact support if you need help with an unreadable package; a manual transcription, specialist review or advocate’s opinion is not promised as part of the automated report price.

What happens if the AI review fails?

A provider error or a response that fails evidence validation may prevent a new review from being saved. This is different from a saved report with partial coverage. Failed AI attempts do not consume the included successful-review allowance. You can retry or contact support if the failure persists.

What if I paid and the documents cannot be processed?

Contact support through Account settings after signing in with your account email and payment reference. Do not email payment-card details or property documents. If processing cannot be completed, we review the case for a retry, replacement check or refund under our refund policy. Partial coverage alone does not settle refund eligibility; it is not a blanket exclusion from refund review.

Does a report certify clear title or replace official searches?

No. TitleChk provides evidence assistance from supplied documents and recorded searches. It does not guarantee ownership or provide a signed advocate’s title opinion. Unperformed searches remain unperformed. EC retrieval is a separate manual service; the published-judgments add-on searches published judgments and orders, not every pending case or official court record.
